Employee loan recovery records should connect the original advance, approved terms and amounts actually recovered while keeping wages and statutory calculations separately traceable. Confirm the lawful and agreed recovery process with the responsible HR and payroll advisers before processing a deduction. A bookkeeping balance does not itself authorise taking money from salary.

Establish the advance history

Record the employee reference, original payment, currency, date and agreement. Separate a loan from a reimbursable business expense or salary advance where the facts differ. Keep the agreement and personal financial information in restricted company records.

Identify changes to the recovery arrangement and the authority behind them. Do not infer consent from an earlier repayment that may concern another balance.

Reconcile payroll and receivable records

Use a schedule for opening loan balance, new advances, approved recoveries and closing balance. Match actual payroll deductions or direct repayments to the bank and ledger. The recovery should reduce the appropriate receivable rather than automatically reduce wage expense.

Have payroll review the salary, CPF and other reporting consequences separately. A smaller net salary transfer does not establish that gross wages or statutory contribution bases have changed.

Example: the employee repays directly

The employee makes a bank repayment while the payroll team has prepared a scheduled recovery. Reconcile the direct payment before processing payroll to avoid collecting the same amount twice. Any change must follow the approved payroll process.

Keep exceptions visible

Investigate missed recoveries, disputed balances and changes when employment ends with the appropriate advisers. This checklist does not prescribe a deduction limit or decide whether a particular deduction is permitted. Keep the final reconciliation and instructions so later payroll and accounting reviews can follow what happened.
