Supplier accrual invoice matching should connect an invoice received later to the cost already recognised through an accrual. Compare the service period, supplier and underlying work before adding another expense. An invoice entering the system does not mean the same cost should be recognised a second time.

Retrieve the original accrual support

Identify the period-end journal, estimate, calculation and approval. Record the service or goods being accrued and the expected supplier. A line called professional fees may cover several separate items, so establish the component being matched.

Check whether the accrual was automatically reversed in the next period. The correct invoice workflow depends on the entries already made. Do not clear a liability that has already reversed or leave both an accrued cost and a payable for the same obligation without explanation.

Compare the actual invoice

Review the invoiced period, scope, currency and amount against the estimate. Separate an amount difference from additional work performed later. An invoice covering two periods may require a split rather than one comparison against the earlier accrual.

Give the accountant the actual invoice and the original estimate. Ask about GST and other tax treatment separately; the accrual entry alone does not establish a supported input-tax claim.

Example: the final bill exceeds the estimate

The company accrued an estimated service cost, then receives a higher final invoice including extra work. Identify the part covered by the estimate and the additional item. Ask the accountant to approve the adjustment instead of recording the full bill while leaving the entire accrual untouched.

Keep settlement separate

Matching the expense and liability does not prove the invoice was paid. Retain the payment approval and bank evidence through the ordinary accounts-payable process. Check that an accrued item has not also been paid manually outside the usual supplier account.

Close the reconciliation

Record the original accrual, reversals, invoice, approved difference and remaining balance. Have the reviewer confirm that one underlying cost has been recorded appropriately. Keep the schedule with the source documents so future period-end work can trace what happened without relying on the preparer’s memory.
