A shareholder delivery address change should identify what the new address is intended to replace before records are amended. A courier destination, correspondence address and recorded shareholder particulars may serve different purposes. Ask the secretary to confirm which records and notification process the actual instruction affects.

Establish the requested use
Keep the shareholder’s instruction, company and holding reference. Ask whether the change concerns meeting materials, a one-off original-document delivery or a continuing contact arrangement. Do not infer a share transfer or a new shareholder from an address change alone.
Verify unexpected instructions through an established route. A new address supplied in a forwarded message should not automatically become the destination for sensitive shareholder documents.
Compare the controlled records
List where the existing address appears and identify the custodian of each record. Keep an internal courier list separate from the statutory or official information the secretary maintains. Do not overwrite historical documents that correctly used an earlier address.
Give the reviewer the supporting information needed for the applicable update. This practical check does not decide whether a particular address is sufficient for formal notice or prescribe a universal filing requirement.
Example: a temporary collection point
A shareholder asks for one certificate delivery to an office used while travelling. Clarify whether that is a single delivery instruction or a permanent particulars change. Treating it as permanent could misroute later notices after the shareholder leaves.
Close with a clear routing note
Record the approved purpose, effective instruction and any outstanding update. Keep the actual delivery evidence separately. A successful courier delivery does not establish that every company record or formal notice arrangement has been updated.
