A director name spelling check should compare the bank’s request, reliable identity evidence and the company’s controlled records before a pack is supplied. A difference may be a typing error, a transliteration issue or something needing further clarification. Do not assume two similar names identify the same person without a supported comparison.

Identify exactly what differs

Record the affected document and the spelling used in each source. Separate given-name order, punctuation and abbreviations from a possible substantive name change. Keep personal identity information in restricted company storage.

Ask the responsible contact for the genuine source document through an approved route. Do not circulate passport copies widely while asking colleagues to recognise a name.

Keep the different workstreams clear

The bank decides what it needs for its review, while the secretary assesses the company’s records and any applicable update. Correcting a bank cover sheet does not prove that official particulars changed. Equally, a new official extract may not resolve a bank’s question about a historical signature.

Retain the explanation and ask the appropriate reviewer which wording should be used in the current pack. Do not edit an issued identity document or signed historical resolution.

Example: an abbreviated middle name

The bank form uses an initial while the source document contains a full middle name. Give the reviewer both versions and the relevant references. A familiar initial may be explainable, but the administrator should not manufacture a certification that the bank never requested.

Preserve the accepted comparison

Keep the reviewed particulars, any provider clarification and the final pack reference. If the evidence points to a different person or an unresolved identity change, stop that item and obtain instructions rather than choosing the most convenient spelling.
