Constitution page completeness should be checked when a signed or adopted document bundle has loose or apparently missing pages. Preserve the material as found and ask the secretary to compare reliable copies. A page with familiar wording should not be inserted from another company’s template to make the document look complete.

Inventory the physical bundle

Record the company, document description, page numbering and where the bundle was held. Keep signature, certification or adoption material with the pages it accompanied. Note visible gaps without writing new numbers onto an original.

Use a separate index for the review. A scan may help show the received order, but it should not conceal that pages were loose or their sequence uncertain.

Compare reliable sources

Locate the incorporation or adopted version and subsequent amendment records as appropriate. Ask the custodian or secretary for a complete reliable copy. Check that candidate pages belong to the same company and version rather than relying only on matching headings.

A completeness check is different from deciding which amended constitution is current. If versions conflict as well as pages being missing, keep both questions explicit for the reviewer.

Example: a page number is absent

The file jumps from one numbered page to another, while an emailed copy includes the intervening page. Preserve the source of that copy and ask the secretary to confirm whether it completes this particular bundle. Do not present a newly assembled copy as the original signed document.

Label the resolved record accurately

Retain the received bundle, comparison and accepted complete copy with their status clear. Record any missing original or unresolved provision. Questions about legal effect should go to the appropriate advisers; physical reassembly alone does not establish the validity of every provision.
