Asset trade-in records should distinguish the old asset disposed of from the replacement acquired and the net cash paid. Keep the supplier’s documents and asset references for both sides. A single bank deduction does not explain the replacement’s cost, the disposal amount or any remaining financing balance.

Identify both assets

Record the old item’s register reference, serial number and relevant cost history. Keep the replacement order, invoice and delivery details separate. Confirm which company owned the old asset and acquired the new one.

Ask for the full supplier calculation showing the replacement price, trade-in allowance and other charges. A quoted net amount may omit information needed for the accountant’s review.

Reconcile cash and balances

Compare the approved deal with the supplier account, bank payment and fixed-asset register. Check whether a deposit, credit or loan settlement forms part of the arrangement. Do not reduce the new asset’s record informally just to make it equal the net payment.

The accountant should determine the reporting entries and any gain, loss or other treatment under the applicable framework. Physical delivery of the old item is evidence of movement, not a complete accounting conclusion.

Example: an old financing balance remains

The replacement supplier accepts the equipment, but a separate lender balance is still open. Give the accountant both arrangements and the actual settlement evidence. Handing over the item does not by itself establish that the lender was repaid.

Retain the tax review evidence

Keep prior tax allowance schedules and the disposal information for a separate tax review. Do not assume that the net cash paid determines a capital-allowance claim. Close the asset-register and supplier reconciliations with the approved documents and any unresolved items clearly assigned.
