Closed bank account records should remain accessible after the company loses online access to the account. Obtain the final statement and reconcile the closing movements before treating the account as finished in the books. Closing an account is different from closing the company or completing its annual accounting work.

Fix the account and closure date
Record the account holder, masked account reference, currency and confirmed closure date. Keep the bank’s closure acknowledgement and the final statement available to authorised finance staff. A request to close is not proof that closure occurred.
Identify recurring receipts, payment instructions and connected services that used the account. Ask the responsible team to review them through the appropriate processes. A ledger balance of zero does not show that customers and payment providers have stopped sending money there.
Reconcile the final movements
Match the final transfer, fees, interest and any returned transactions to the ledger. Retain evidence from both sides of a transfer to another company account. Do not record the transfer out as a new expense simply because the old account is disappearing from the bank feed.
Example: a late bank charge changes the closing transfer
Finance expected a particular balance to move to the remaining account, but a closure charge reduced the amount. Keep the bank advice and identify the fee separately. Do not leave an unexplained difference in the old cash account.
Review outstanding items
Check unpresented payments, deposits in transit and refunds expected from suppliers or tax authorities. Ask the accountant and authorised payment team about the appropriate next action. Do not mark an item settled solely because the associated bank account has been closed.
Preserve retrieval arrangements
Save readable statements and reconciliation schedules in controlled company storage before access ends. IRAS requires records that explain business transactions, including bank statements and supporting schedules. Test that a colleague can retrieve the final statement and a selected earlier transaction without needing the former operator’s login.
