CPF contributions submitted under the wrong CPF Submission Number need reconciliation against the actual employer and employee records. Preserve the submitted reference and ask the authorised payroll reviewer to check the adjustment route. Changing an internal spreadsheet does not move contributions in CPF Board's records.

Identify the affected submission

Keep the acknowledgement, submission number, contribution month, employee identifiers and payment evidence in controlled storage. Compare the intended employer reference with the one actually used. Do not assume that two submission numbers belonging to related businesses are interchangeable.

Separate wages from contribution amounts

Recover the actual wages payable under each relevant employment and submission reference. CPF Board's wage guidance says wage declarations should reflect actual wage facts rather than be derived from contribution or refund amounts. Give the reviewer the original payroll evidence, not a figure reverse-calculated merely to match the payment.

Example: a group payroll file uses an old reference

The file is submitted using another company reference retained in a template. Preserve the source file and actual outcome, identify affected employees and obtain instructions through the proper correction process. Do not make an unexplained second payment solely to make the intended account appear funded.

Confirm the official outcome

CPF Board provides an adjustment process for relevant contribution errors. CPF Board requires the adjustment application within one year from the contribution payment date. Inform affected employees and resolve any dispute with them before applying. Check the applicable conditions and scope against the current guidance. Keep a request awaiting action distinguishable from an accepted adjustment. Reconcile the confirmed result with payroll and finance records, and retain any unresolved differences.
