Unpaid invoice cancellation should preserve the original invoice and the authority for the change. First establish whether the sale was cancelled, the document was issued in error or a different adjustment is needed. The fact that a customer has not paid does not, by itself, justify deleting the invoice or reversing revenue.

Confirm what happened commercially
Record the invoice number, customer, original agreement and reason for the proposed cancellation. Ask the person responsible for the sale to confirm the facts. A customer query, a failed payment and an agreed cancellation are different events.
Check for a deposit, partial receipt or allocation before describing the invoice as unpaid. A payment held elsewhere in the system may not yet appear against the invoice itself.
Ask for the appropriate document route
The accountant should determine how the original invoice and any credit or replacement are recorded. For GST-registered businesses, IRAS invoicing guidance sets requirements for tax invoices and credit notes. Do not assume that changing a status field in the sales software completes the tax review.
Example: an invoice was issued twice
One valid sale generated two invoice numbers. Identify which document is the supported invoice and obtain approval for handling the duplicate. Preserve the relationship between them rather than deleting a number and making the sequence appear uninterrupted.
Keep the ledger and customer communication aligned
Give finance the approved outcome and any customer confirmation. If a replacement is issued, link the documents and check that only the intended receivable remains. Avoid sending a new invoice while leaving the old one in an automated collection run.
Check the final sequence
Review the invoice listing, customer balance and any adjustment record after posting. Retain the original documents and explanation, including any filed-return correction advice. A controlled cancellation trail helps another reviewer understand why an issued invoice no longer forms part of the amount due.
