An office provider closure calls for a continuity plan before the company loses access to correspondence or stored records. Confirm the last service date, locate a suitable replacement and ask the company secretary to coordinate the registered-office update. Treat mail collection, record custody and the official address change as separate tasks with their own completion evidence.

Establish what is actually ending

Read the provider’s closure notice and the current service agreement. Identify whether the arrangement covers only an address, mail handling, document storage or additional secretarial work. Do not assume the company secretary has ceased to act simply because the address provider is closing. Equally, an address replacement does not automatically transfer custody of statutory records.

Ask for the last collection date, forwarding arrangements and the person handling outstanding correspondence. Record what the provider has agreed in writing. If access is already unavailable, note the gap and ask the secretary to assess urgent steps. Do not use an unapproved address simply to fill an empty field.

Set up the replacement before the cutover

Confirm that the proposed address can meet the company’s registered-office requirements. Agree how authorised staff will receive notices and how urgent correspondence will be escalated. ACRA’s company-information guidance includes registered-office address and office-hour changes. Ask the secretary to verify the applicable filing and timing rather than assuming a forwarding service changes the public register.

Recover records against an inventory

Prepare a list of originals and files held by the departing provider. At handover, record what was received, by whom and where it will be kept. Photograph packaging or log sealed bundles where useful, but avoid exposing confidential contents in general project updates. Missing items should remain on an exception list.

Example: closure with two weeks of mail access

The new office is ready, but the old provider still holds an unopened official letter and a minute book. Allocate separate owners to collect the letter and receive the book. Confirm the public address update independently. One completed filing does not demonstrate that the historical records have been recovered.

Check continuity after the move

Compare the accepted registered-office particulars with the approved replacement. Give important counterparties the new correspondence details through their own update processes. Check for redirected mail during the agreed transition and retain the closure notice, handover inventory and acknowledgements together.
