A corporate shareholder name change needs evidence that connects the previous and new names to the same legal entity. Ask the company secretary to review the overseas registry documents, entity identifier and current share records. Do not treat a changed display name as an instruction to transfer shares to another company.

Identify the registered shareholder
Start with the name and identifier in the company’s current records. Note the jurisdiction, shareholding and contact authorised to provide information. A familiar group trading name may differ from the legal entity that holds the shares. Resolve that distinction before entering an update.
Ask for the official evidence of the name change and any supporting document needed to connect the names. Keep the source, issue date and document reference in an index. Where language or certification questions arise, let the secretary or adviser specify what is required rather than inventing a universal document rule.
Check entity continuity
Compare the registration number and relevant registry history. A merger, redomiciliation, dissolution or transfer may involve more than a simple name change. If the evidence points to a different entity, stop and seek instructions on the correct corporate process. Do not preserve an old identifier simply to make the update easier.
Example: a group reorganises its names
The shareholder’s contact sends an email saying that Holdings A is now Holdings B. The attached registry document relates to a separate group company. Keep the discrepancy open and request evidence for the actual shareholder. The common group logo is not a substitute for that evidence.
Prepare a consistent update pack
Once the facts are established, reconcile the approved new particulars with the company’s share records and the applicable ACRA update. ACRA’s guidance includes shareholder-particular changes. The secretary should confirm the relevant route and timing for this case, including any connected events.
Retain the historical link
Keep the accepted update and evidence connecting the two names. Record any separate bank, tax or service-provider notification still required. Do not overwrite historical signed documents so that they appear to have used the new name before the change occurred.
