A proxy appointment receipt should record what arrived and when, before the team decides how it may be used at a company meeting. Preserve the original form and route timing or validity questions to the secretary and chair through the agreed process. An administrator’s internal preparation cut-off is not, by itself, a ruling on the appointment.

Identify the meeting and submission route
Record the company, meeting date, appointing member and proposed proxy. Keep the received document, accompanying message and available timestamp. Note whether it arrived through the route stated in the meeting materials or another channel.
Avoid replacing the received form with a clean transcription. If the scan is incomplete or unreadable, keep it and ask for clarification while recording what was missing. Do not add a signature or fill an unanswered voting instruction yourself.
Separate operational timing from validity
The team may have an internal cut-off for preparing attendance lists. The company’s constitution, meeting notice and applicable requirements need separate assessment. Ask the secretary to identify the relevant rule and who will decide any contested point.
This checklist does not prescribe a universal proxy deadline or determine voting rights. ACRA’s AGM guidance provides wider meeting context; the particular appointment still needs its own review.
Example: a form arrives after the attendance list is printed
The form reaches the company after staff have prepared the meeting pack. Log the receipt and notify the responsible secretary instead of discarding it as late. Keep any revised attendance or voting materials distinguishable from the earlier version.
Retain the decision and communication
Record the decision maker, conclusion, reasons or document references, and any clarification requested. Tell the relevant meeting team what has been decided without circulating unnecessary identity or signature details.
Reconcile the meeting record afterward
Keep the original appointment, receipt evidence and decision with the meeting records. Check that the final attendance and voting records reflect the decision actually made. Escalate a dispute for appropriate legal advice rather than rewriting the receipt time or treating an unresolved appointment as automatically accepted.
