Duplicate officer register entries should be compared by identity, role and dates before anyone deletes a line. The same individual may legitimately appear in different roles or across different companies. Establish whether the duplication is a data-entry issue, a historical appointment or an unresolved discrepancy in the underlying records.

Confirm the register’s scope
Identify the company, register type, reporting date and source of the list. A group contact directory and a company’s officer record serve different purposes. Keep a copy of the version being reviewed so the original discrepancy can be explained.
Compare the person’s identifiers through an authorised secure process. Similar names do not prove that two entries concern the same person. Equally, a renewed passport or changed name may explain two descriptions of one individual.
Compare each role and period
List the role, appointment date, cessation date where relevant and supporting document reference for each entry. Do not merge a secretary appointment and a director appointment into one generic officer line if that removes meaningful information.
Where the dates conflict, ask the company secretary to reconcile the approved documents and relevant ACRA record. An internal spreadsheet correction does not establish that an official record has also changed.
Example: current and ceased roles look identical
A list omits the cessation column from its displayed view. Two lines appear to be duplicates, but one is a historical appointment. Restore the context before deciding whether a duplicate exists. Deleting the older line could erase a legitimate part of the history.
Apply only an approved correction
Keep the proposed correction separate from the original list. Record who confirmed the evidence and what changed. Use the applicable filing process if the official particulars themselves require attention, rather than editing the internal register and calling the whole task complete.
Check downstream copies
Identify whether the same data feeds a bank pack, meeting list or company contact system. Update the relevant controlled copies after the position is confirmed. Keep historical signed documents intact and close the review with a clear record of the resolved identity, roles and dates.
