Trading name company identity should be clear to the people buying from, supplying or contracting with the business. A brand or shortened name on a logo does not identify a different incorporated company. Check that the relevant documents show the correct legal entity and required company particulars.

Map the names in use
List the registered company name, UEN, brands and shortened descriptions used by the team. Identify which entity actually sells the service or signs the contract. A group website can contain several businesses, so a shared logo is not enough to establish the contracting party.
Do not treat a brand refresh as an accepted change to the company’s registered name. If the company intends to change its legal name, ask the secretary about the separate approval and filing process.
Review documents rather than logos alone
Check quotation templates, invoices, order confirmations and contract headings. ACRA’s company administration guidance identifies requirements to display company details on specified business documents. Ask the secretary to confirm what applies to the actual document and business arrangement.
Using another business name can also raise separate registration, licensing or trade-mark questions. This checklist does not decide those questions or promise that every proposed trading name can be used without further action.
Example: two companies use one brand
A customer accepts a quotation displaying only the group’s brand, while the invoice is issued by one subsidiary. Identify the intended contracting entity and ask the relevant advisers how to clarify the records. Do not quietly change an issued document so that it appears to have named a different entity from the start.
Align the controlled particulars
Give the approved company particulars to the staff maintaining templates and supplier or customer accounts. Retain the reason for any genuine correction. Check a sample completed document rather than assuming a template update has changed every connected system.
Keep the history understandable
Preserve historical records and any evidence explaining the brand-to-entity relationship. A clear document trail helps finance allocate transactions to the right company and helps counterparties understand whom they are dealing with.
