An annual return financial period should be traced to the company’s actual records before an unexplained date is accepted. Keep the draft return, latest financial statements and relevant company decisions together. A period displayed in software is a prompt for verification, rather than proof that a change was properly made.

Identify the period being represented

Record the company UEN, opening date, closing date and document version. Check whether a schedule describes the financial statements, a tax basis period or an internal reporting interval. Similar date labels may concern different obligations.

Ask the accountant to identify the period covered by the approved accounts. Give the secretary the supporting company records and any earlier change correspondence.

Trace changes rather than infer them

Retain the original and revised dates with their preparation history. Ask the secretary to check the official position and applicable process if a change is suggested. Do not amend a return merely to make it agree with an unverified spreadsheet.

Separate an internal reporting extension from a change to the company’s financial year end. This guide does not establish eligibility for a particular change or calculate a filing deadline.

Example: the working papers cover thirteen months

The working papers start one month earlier than the draft return. Establish whether there is an opening-balance schedule, a changed reporting period or an error. Changing the start date without checking could conceal a missing or duplicated accounting month.

Close the date review

Keep the accepted period, supporting reference and reviewer explanation with the filing pack. Let the responsible secretary check consequential filing and meeting dates. Record unresolved questions explicitly so approval of the figures is not mistaken for approval of an unexplained reporting period.
