A missing transferee identity should be resolved before a share transfer instruction is treated as ready for preparation. The proposed recipient is a central part of the transaction, not an optional contact field. Ask the secretary what verified particulars and supporting documents are required through the approved secure channel.

Clarify the instruction

Identify the company, proposed transferor, share class and number of shares. Keep the original request and note exactly which recipient information is absent.

Do not substitute a family member, trading name or intermediary simply because that person appears in earlier correspondence. The recipient’s capacity may also need clarification if the instruction refers to a company or another arrangement.

Obtain a complete preparation pack

Ask the authorised instructing person to confirm the intended recipient and provide the required identification securely. Avoid circulating personal identity documents through an unrestricted group chat or public folder.

Give the secretary the relevant company records and transaction context. The secretary should check applicable approvals, restrictions, documentation, stamp-duty and filing steps. A complete contact entry does not prove those requirements have been satisfied.

Example: the request says my new partner

A shareholder sends a share number and asks for a transfer to a new partner. Ask who that means and in what capacity the person or entity will hold the shares. Do not derive an identity from a recent email introduction.

Keep the status clear

Label the instruction as proposed and incomplete until the missing information has been resolved. Retain later confirmations with the preparation history. Update completed holding records only through the applicable reviewed process, rather than treating receipt of the new identity documents as proof that a transfer has taken effect.
