A company stamp wrong UEN error should be contained by checking the stamp against verified company particulars and identifying where it was used. Retain a clear sample of the incorrect impression. Do not assume that a replacement stamp automatically resolves documents already sent to other parties.

Verify what is wrong

Compare the company name and UEN with the controlled official particulars. Identify whether the physical stamp, artwork, order instruction or a digital template introduced the error.

A company number does not become outdated merely because the company changes its name. If the number differs, establish whether this is a typing mistake or a stamp prepared for another entity.

Contain use and preserve evidence

Remove the incorrect stamp from routine use through the company’s authorised custody process. Keep the impression, order records and discovery date securely.

Ask the secretary to review affected documents and the practical correction route. Avoid crossing out a stamp on a previously signed document without obtaining the appropriate instructions.

Example: one digit was transposed

The office discovers the error after issuing several supplier forms. Identify each recipient and document version. Ask the responsible reviewer whether clarification or replacement is needed for each use, rather than issuing a general assurance that all documents remain acceptable.

Check the replacement

Have the authorised reviewer compare the new proof and a test impression with verified particulars. Record custody and how obsolete artwork will be prevented from reuse. A company rubber stamp does not replace a required signature, approval or separate company-seal process.
