A member notice language request should be addressed without assuming that a translated summary replaces the formal notice. Ask the secretary to check the company’s constitution, proposed notice and delivery arrangements. Record what assistance the member needs and keep the authorised notice identifiable.

Clarify the requested assistance
Establish whether the member wants an explanation, a translation of the full pack or help understanding a particular item. Keep the actual request and any relevant delivery preference.
Do not assume a member has waived a notice requirement merely because they asked for another language. Language assistance and consent to a procedure are different matters.
Keep versions connected
Identify the original notice, attachments and any later amendment. Give the translator or reviewer the complete authorised version, including resolution wording and response instructions.
Use a version reference connecting the translation to its source. If the original changes, review the translation before circulating it again. A summary should be clearly described as a summary rather than presented as a complete equivalent.
Example: the translated agenda omits an attachment
The member receives translated agenda headings but cannot understand a resolution in an attached pack. Identify the missing assistance and ask the secretary what further steps are needed. Sending a short explanation does not establish that the formal notice was complete or validly served.
Document the accepted arrangements
Retain the final notice, assistance provided, actual delivery evidence and reviewer instructions. Record any unresolved question about timing or comprehension for the secretary’s attention. Where interpretation of rights or a disputed notice requires legal advice, assistance is provided through advisers from associated law firms. Do not promise that translation alone cures a procedural defect.
