A multi-company officer update should be tracked separately for each company where the person holds a relevant appointment. Start with a complete role list and ask each responsible secretary what must be updated. A single changed contact card does not prove that every company’s records or official particulars have changed.

Establish the scope of appointments
List the legal company name, UEN, actual role and responsible service provider. Distinguish directorships, secretary appointments and other recorded relationships instead of describing every connection as an officer role.
Identify which personal particular changed and the effective facts. Collect identity evidence only through a secure route appropriate to the actual update.
Prepare separate company tasks
Give each secretary the verified change and relevant appointment context. Ask who is authorised to instruct and approve the update for that company.
Keep a company-specific task reference, required action and owner. Do not assume one secretary is engaged for every group entity or that a holding company’s acknowledgement covers subsidiaries.
Example: two providers maintain different entities
The officer holds appointments in companies supported by two firms. One provider confirms completion for its company. Retain that evidence against the correct UEN and leave the other task open until its responsible provider confirms the actual outcome.
Reconcile all accepted changes
Keep the completed company records and official acknowledgement where applicable. Check any separate correspondence or service-provider contact lists requiring an update. If a role has ended, ask the secretary to verify the appointment history rather than simply deleting it from the tracker. Close the overall exercise only after every identified company task has an explained status.
