A shareholder balance mismatch needs investigation even when the total issued share number agrees across two schedules. Equal totals can conceal an offsetting error between holders. Ask the secretary to compare the components and their effective dates before the table is used for a company decision.

Align the comparison

Identify the company, share class, record dates and purpose of each schedule. Separate issued holdings from proposed transactions or an illustrative fully diluted view.

Compare holders using the correct legal identity and supporting records. A familiar short name may hide two different persons or corporate entities.

Trace the movements by holder

Prepare opening holding, supported additions, supported reductions and closing balance for each holder. Link transfers and allotments to the reviewed transaction history.

Do not net an unexplained surplus for one holder against another holder’s shortage. A balancing total does not establish that the individual entries or rights are correct.

Example: the same transfer is allocated differently

Two schedules show the same overall share total, but one has transferred shares to a similarly named recipient. Trace the actual instruction, approved documents and completed records. Do not move shares between holders solely to make an internal spreadsheet agree with the preferred presentation.

Keep the accepted reconciliation

Record the explanation, corrected version and any further official-record review required. Ask the secretary to assess consequences for a proposed notice, vote or transaction where relevant. Preserve prior versions and avoid describing an arithmetic correction as a new transfer. This schedule supports review; it does not determine legal ownership or voting rights by itself.
