Branch report scope should be checked when an accounting report appears to omit one business location. Establish the reporting entity and source ledgers before combining figures. A branch, department and separately incorporated subsidiary may have different reporting roles even where management uses similar labels.

Identify the intended report

Record the company, period, report purpose and selected filters. Ask whether the report is for one location, the legal entity or a wider group. Keep the original output and its stated scope.

Do not add another company’s figures merely because it shares the same brand or management team.

Trace the missing activity

Compare branch or cost-centre codes with the underlying transactions and ledger balances. Check whether inactive filters, blank codes, permissions or a different ledger explain the apparent omission.

A missing branch subtotal may be a presentation issue rather than missing accounting entries. Conversely, a report total that looks plausible does not establish that every relevant transaction was included.

Example: one location uses an older code

The report filters for current branch names, while some transactions still carry a retired location code. Give the accountant both code lists and the transaction reconciliation. Do not duplicate the old-code transactions under the new name just to make the branch appear.

Retain the agreed reporting basis

Keep the accepted entity boundary, code mapping and revised report reference. Reconcile changes to the source balances and tell the appropriate recipients which output replaces the earlier one. Wider consolidation and intercompany questions need their own professional review; a branch filter fix does not settle them.
