Grant receipt tax evidence should connect the payment to the award terms and the expenditure it supports. Do not label every government payment tax-exempt or treat every grant as ordinary sales income without review. The grant’s purpose and any specific treatment matter more than the bank narrative alone.

Identify the award and recipient
Keep the offer or approval letter, scheme name, recipient company and relevant project references. Reconcile the amount received with the claim and any earlier instalments. A group company receiving the funds may raise a different accounting question from the intended applicant receiving its own award.
Record approval dates, funded costs and conditions without assuming that all schemes use the same rules. Where the award contains amendments or later clarification, include them in the review pack.
Give the accountant the underlying purpose
IRAS distinguishes grants supporting revenue expenditure from those funding capital assets, while particular payouts can have specific treatment. Ask the accountant to apply the current guidance to the actual award. A payment being described as a reimbursement does not settle its tax character.
Keep income-tax treatment separate from GST and from recognition in the financial statements. Those questions may use overlapping facts but should not be answered by applying one label to every system.
Example: part of a project is grant-funded
The company receives support for a purchase and has also recorded the supplier cost. Give the adviser both the grant terms and expenditure schedule. Ask how the funding affects the relevant deduction or allowance instead of claiming the full cost automatically while ignoring the grant.
Reconcile cash and accounting records
Match instalments, adjustments and any amount still receivable to the award evidence. A claim submitted is not necessarily an approved or paid grant. Retain the accountant’s approved entries and any tax adjustments separately from the bank reconciliation.
Preserve the review conclusion
Keep the source guidance, facts relied on and adviser decision with the award pack. If the purpose remains unclear, request clarification rather than invent a tax exemption. This checklist supports ordinary tax preparation and does not certify eligibility for the grant or guarantee an agency’s approval.
