Replacement company card statements should be reconciled as a continuous account history where the provider treats the replacement as the same account. Keep the old and new references, statement dates and balance transfers visible. A card number changing does not, by itself, create a new expense or clear an amount still owed.

Establish what actually changed
Ask whether the event is a replacement physical card, a new card account or a move to another provider. Record the relevant dates and authorised cardholder. These arrangements can produce different statement and settlement records, so do not choose the ledger treatment from the last four digits alone.
Keep full card details secure. An internal reconciliation can normally use restricted references rather than circulate complete card numbers or security information with the accounts pack.
Obtain both sides of the transition
Retain the final available statement under the old reference and the first statement under the new one. Compare opening balances, payments, outstanding transactions and provider adjustments. Check whether the accounting feed imported a carried balance as a transaction that would duplicate an existing liability.
Ask the accountant how the software accounts should be linked or closed. Deactivating a feed should not remove access to statements required for the historical record.
Example: a refund arrives after replacement
A supplier refunds a purchase made with the old card, and the credit appears under the replacement reference. Link the refund to the original purchase and retained supporting document. Do not record it as unrelated income merely because the original card is no longer active.
Check recurring payments separately
Confirm which authorised subscriptions or other payments need attention after replacement. A declined payment is an operational exception; a successful renewal still needs the usual invoice and approval evidence. Avoid assuming that a card replacement cancelled the underlying supplier contract.
Close the transition reconciliation
Account for the ending balance, opening balance, payments and later credits without counting a carried amount twice. Retain the statement chain and approved ledger treatment together. IRAS recordkeeping guidance provides the basis for keeping transactions explainable after the card reference changes.
