An officer appointment date mismatch should be investigated before anyone submits a fresh Bizfile update. Compare the signed appointment decision, the person’s acceptance and the filing acknowledgement, then document why they differ. The aim is an evidence-backed correction. Choosing the most convenient date can create a second problem and leave the company unable to explain its own record.

Keep three different dates separate
The decision date, the effective appointment date and the filing date can be different. A document signed on Friday might approve an appointment effective the following Monday, with the filing completed later. An internal spreadsheet that contains only one date can hide that distinction. Start by identifying what each source actually records, rather than assuming all dates must match.
Compare the source documents
- The complete signed board decision or other valid appointment authority.
- The officer’s consent or acceptance and any relevant terms.
- The current position-holder information and original filing receipt.
- Contemporaneous correspondence explaining the intended start.
Check the company name, UEN and person as well. A correct date from a different group company is still the wrong evidence.
Prepare a discrepancy schedule
Use one row for each source, showing the date, what that date means, who supplied the document and where the original is kept. Mark uncertain items as unresolved. Ask the director and company secretary to agree the factual sequence. If a document is incomplete or apparently altered, retain it and seek clarification; do not overwrite the file with a cleaner-looking version.
Choose the correction route after the facts are clear
ACRA provides procedures for updating officer particulars, but correcting an error in a filed record may involve a different process from reporting a genuine new change. Ask the secretary to identify the appropriate route and supporting requirements. Do not enter a false cessation and reappointment simply to make the register match a spreadsheet. ACRA’s guidance generally requires position-holder changes to be reported within 14 days; uncertainty should therefore be raised promptly.
Example: approval on one day, effective appointment on another
Suppose a signed decision dated 8 June states that an appointment begins on 15 June. The internal register says 8 June, while the filing confirmation says 15 June. The first task is to read the operative wording and acceptance evidence. It may be the internal register that needs correction. The differing dates alone do not prove the public filing is wrong.
Keep the explanation with the final record
Retain the agreed chronology, approval for the action, any correction acknowledgement and the updated internal register. For context, use our director change guide, the company secretary’s role and statutory register maintenance.
