Foreign-language shareholder documents should be organised with their originals and an agreed verification plan before a company change is prepared. Identify what each document proves, who issued it and which English-language version will be used. A translation is not, by itself, proof that the original is authentic or current.

Identify the particular transaction

Tell the company secretary whether the documents concern an existing shareholder, a proposed transfer, a name change or another event. Requirements can differ by transaction and document. Do not order a generic bundle of certification services before the receiving party has confirmed what it needs.

Prepare a list showing the issuer, original language, issue date, entity name and registration reference. Keep all pages, including endorsements that may explain amendments or limitations. Ask whether a current extract is needed rather than assuming an old incorporation document establishes the present position.

Keep the original and translation linked

Assign one reference to each original and its translation. Record the translator and any certification actually obtained. Preserve names and registration numbers consistently across the document index. If a transliteration differs, flag the difference instead of editing the source document to make it match a form.

Confirm acceptance requirements early

Ask the secretary or relevant recipient about translation, certification and verification requirements for the actual filing or review. ACRA’s company-update guidance is a starting point for identifying the change being reported, not a universal translation checklist. Allow time for clarification where the issuing jurisdiction uses unfamiliar documents.

Example: two English spellings

A foreign corporate shareholder appears under different English spellings in a translated extract and an older company file. Retain both documents and ask for evidence connecting the names to the same registered entity. Do not treat spelling similarity as sufficient proof of identity.

Protect the document trail

Share sensitive documents only through an authorised channel and limit access to those handling the review. Keep the accepted translation alongside the original and the recipient’s requirements. If legal interpretation or disputed authenticity is involved, obtain help from appropriate advisers before relying on the document.
