A wrong UEN filing receipt should stop the completion check until the company identity is reconciled. First establish whether the wrong receipt was attached to the message or whether a transaction may have been submitted for another entity. Those situations require different responses, and neither should be resolved by editing the receipt.

Preserve the received evidence

Keep the original message, attachment, transaction reference and date received. Record the company the task was meant to concern. Restrict circulation if the attachment belongs to another company; do not forward unrelated company records widely while asking who recognises them.

Compare the legal name and UEN with the approved filing instructions. Similar names, shared directors and a group relationship do not make two entities interchangeable. Avoid using only a shortened trading name in the investigation log.

Trace the submission reference

Ask the filer to reconcile the reference to the submission record and the intended company. ACRA’s annual-return guidance describes the entity review and successful submission process. A correct payment amount or familiar filing date does not prove that the receipt belongs to the required transaction.

Example: correct filing, wrong attachment

The secretary confirms that the intended company’s return was accepted but attached a sister company’s receipt to the email. Obtain the correct evidence, preserve the explanation and move the unrelated attachment into the appropriate restricted record. Do not create another filing merely to produce a replacement receipt.

Escalate a possible wrong-entity submission

If the filing itself may be incorrect, ask the responsible secretary to verify the current record and the appropriate correction process. Identify any urgent compliance consequence for both entities. Avoid making a second submission or reversing information without instructions based on the actual facts.

Close each affected task independently

Record which receipt belongs to which entity and whether any correction remains outstanding. Send a clear completion note only once the intended transaction has been established. Keep the original discrepancy and outcome together so a future review does not reopen the same confusion.
