An annual return completion pack should show the director what was submitted, for which company and financial period, and whether any related work remains open. Ask the company secretary for the accepted filing evidence and a short reconciliation to the approved information. An invoice for professional services is not a substitute for that pack.

Specify the evidence before the filing
Agree where the acknowledgement and submitted particulars will be stored. Identify the director who will receive the completion note and the person responsible for retaining it. Use a company-controlled folder with access appropriate to the information, rather than relying on a secretary’s personal mailbox.
Keep the approval and filing stages distinguishable. A signed approval establishes what the director authorised; the transaction acknowledgement establishes what the filing system accepted. The two should be connected by company identity, financial period and reference.
Check what the receipt actually covers
Look for the company name, UEN, filing type, relevant period and transaction reference. ACRA’s annual-return guide explains that records update following successful submission. Compare the evidence with the particulars that the director approved. If the acknowledgement does not explain a point, obtain the underlying submitted information rather than guessing from a payment description.
Example: accounts are still being finalised
A director receives a message saying annual compliance is complete, although an outstanding accounts query remains. The completion note should describe the return that was filed and identify the accounts query separately. Do not imply that an annual-return receipt proves every accounting or tax obligation has been discharged.
Record exceptions and next actions
List any discrepancy, follow-up owner and agreed response date. If the submitted particulars appear wrong, ask the secretary about the appropriate correction route. Preserve the original receipt and the correction evidence so that a later reviewer can follow the sequence.
Close the communication clearly
Send a concise completion note with links to the controlled records. Record the next recurring compliance review without inventing a universal deadline for every company. Directors should be able to understand the completed transaction without opening an unexplained collection of attachments.
