Group company filing controls should treat every Singapore company as a separate workstream, even when the same director, secretary and finance team manage them. Use the legal name and UEN on the task, approval pack and completion evidence. A group nickname is convenient for conversation but unsafe as the only filing identifier.

Create an entity-specific worklist

List the company, UEN, financial year end, responsible officer and filing task. Check the dates and requirements for each entity instead of copying a deadline from a sister company. A group can contain companies with different financial periods and filing circumstances.

Use separate folders or clearly separated records for each entity. Reusable templates should start without another company’s populated figures or signatures. A second reviewer should be able to identify the intended entity from the document itself, without knowing the group’s internal naming conventions.

Reconcile before approval

Match the draft particulars to the source documents for that company. ACRA’s annual-return guidance requires company information to be checked before filing. Review officer details, shareholder information and the relevant financial period independently for each entity.

Example: identical directors, different shareholdings

Two sister companies have the same directors and registered office. Their shareholder records differ. A draft copied from the first company’s previous return can look plausible while containing the wrong ownership information. Checking only the director names will not catch that mistake.

Keep completion evidence separate

Save the accepted transaction reference against the same entity-specific task. Do not mark a whole group complete because one receipt arrived. Track any rejected submission or unanswered query against its own company, leaving the remaining group tasks visible.

Review the control after an exception

If a cross-entity error is found, preserve the affected drafts and identify how the wrong material entered the workflow. Ask the secretary about any necessary correction. Improve the template or review step without changing historical documents to conceal the error. The goal is an explainable record for each company.
