Competing compliance calendars should be reconciled task by task before either is treated as the company’s authoritative list. Different dates may reflect a filing deadline, an internal review target or another entity’s obligations. Identify the company and task, then ask the responsible professional to verify the actual requirement.

Compare equivalent tasks

Keep both calendars with their preparation dates. Match entries by company, financial period and obligation rather than a short label such as annual filing. Distinguish preparation, approval, submission and payment milestones.

Record where each date came from. A copied template should not override the company’s actual records or an officially granted extension.

Verify facts and ownership

Give the secretary the relevant company particulars and filing history, and the accountant the tax and reporting context. ACRA and IRAS obligations should remain separately identifiable even when one service provider coordinates both.

Ask who is engaged to prepare, review and submit each item. Being copied on a reminder does not establish responsibility for completing the task.

Example: one date is an internal target

The accountant’s calendar gives an early date for receiving records, while another calendar lists a later statutory filing date. Preserve both meanings. Removing the internal target could leave too little time for review, even though the filing date itself did not change.

Publish a controlled working calendar

Record the verified deadline, internal milestones, owner and supporting reference. Retain superseded versions and explain material changes to the authorised team. Keep unverified entries open with a named reviewer instead of choosing whichever calendar offers the most convenient date.
