An undelivered original document pack should be reconciled back into company custody before another delivery is arranged. A returned tracking status does not prove the complete contents reached the custodian. Record the failed handover, inspect the returned package through the authorised process and obtain a verified next instruction.

Establish where delivery stopped
Keep the original release instruction, package inventory and tracking events. Record whether collection failed, the recipient refused the package or the provider returned it for another reason. Do not mark the underlying company task complete merely because a courier job has closed.
Ask the delivery provider for the actual return reference. Keep an uncertain location visible as an unresolved custody issue.
Reconcile the returned contents
Have the authorised custodian compare the returned bundle with the release inventory. Record the return date, packaging condition and any missing or unexpected item. Do not open a sealed personal or restricted pack outside the company’s approved handling process.
Separate a failed physical handover from a substantive rejection of the documents. A delivery problem does not establish that a bank, shareholder or adviser rejected their contents.
Example: an office could not accept the pack
The package returns after the recipient’s premises were closed. Confirm the current custodian and actual contents, then verify the next delivery arrangement. Reusing the earlier tracking number or an unconfirmed address can leave two delivery records describing the same originals inconsistently.
Authorise a new dispatch separately
Keep the revised instruction and a new custody reference linked to the failed attempt. Tell the responsible secretary if an original is missing or a deadline may be affected. Preserve the historical delivery record rather than replacing it with the successful attempt later.
