A signed form photograph should be checked for a complete, legible record before the secretary relies on it. A visible signature is only one part of the document. Preserve the image as received and establish whether the recipient needs a scan, an original or another accepted format.

Check the whole form
Identify the company, form, page count and purpose. Look for cropped edges, missing reverse sides, obscured text and attachments referred to in the form. A sharply focused signature does not make an unreadable declaration usable.
Ask for a complete copy through the approved document route. Do not guess a missing answer from a previous form or another shareholder’s response.
Preserve the received evidence
Retain the original image and covering message with its receipt date. If image enhancement is used only to help reading, keep it separate and labelled. Do not alter answers, move a signature or make the result appear to be a different original.
Ask the secretary which format the actual process accepts. This guide does not determine whether a particular photograph satisfies a legal or filing requirement.
Example: only the signature page arrives
The shareholder photographs the final page but the form refers to declarations on earlier pages. Request the complete signed bundle, including relevant attachments. Sending an unsigned template alongside the photograph does not prove which wording the person signed.
Close the completeness check
Link the usable copy and any required original to the same task reference. Record what remains outstanding and who will obtain it. Keep the earlier image so the sequence is clear, while ensuring the implementation team uses the accepted complete record.
