A company contact email change needs a notice-routing check as well as a change of address in a database. List the systems using the old mailbox, identify the owner of the replacement and agree who will monitor both during transition. Updating one contact field does not prove that tax, bank, corporate-secretarial and supplier messages will all reach the right person.

Start with a routing register
Use a small register showing the organisation, old address, new address, authorised updater and confirmation received. Include the company’s filing contacts, tax correspondence and service-provider accounts where relevant. Record company-level and officer-level contacts separately; they may serve different purposes and need different approvals.
For each entry, check the actual account settings rather than relying on the address printed on an old letter. Record whether the mailbox is a shared company inbox or an individual’s work account. A director should be able to identify who is responsible for notices without asking a former employee to search their personal email.
Make the replacement mailbox usable
Agree a primary monitor and backup, access arrangements and a process for escalating deadlines. Test ordinary mail receipt with a harmless internal message. Check quarantine and spam folders where authorised. Do not send client identity documents as a delivery test. Keep an approved transition period for the old mailbox rather than deleting it immediately.
Confirm each external change
ACRA lists officer contact-number and email changes in its particulars guidance. Check the correct company or officer service before making an update. For other organisations, follow their own procedures. A successful login, a sent message or an automatic forwarding rule is not an acknowledgement that an official contact field has changed.
Example: the finance administrator leaves
A company replaces an employee-owned mailbox with a shared finance address. The handover list shows the bank updated, the accountant notified and a tax-portal change still awaiting confirmation. Keep that last item open. Closing the entire project because the bank sent a confirmation would hide the unresolved tax contact.
Finish with a notice-handling routine
Store the confirmations in the company’s administration records. Make the monitor responsible for recording important incoming notices, assigning an action owner and tracking the response. Review the register when staff change again. This is a practical control, rather than a guarantee that every sender has adopted the new address.
