A meeting invitation time zone error needs a clear record of what was sent, what participants understood and what actually happened. Preserve the original invitation and refer the issue to the secretary and chair. Changing a calendar entry afterwards does not prove that the correct meeting arrangements were communicated in time.

Establish the time that was communicated
Keep the formal notice, agenda, calendar invitation and any correction messages. Record the displayed date, time and zone in each item. Distinguish the organiser’s intended time from the time a recipient’s calendar displayed.
Use the relevant dates when comparing locations. Do not assume an overseas participant’s local time stays the same throughout the year.
Check the actual participation record
Identify who received a correction, acknowledged it, joined or missed the session. Keep available delivery and attendance evidence without manufacturing an acknowledgement for someone who did not respond.
Ask the secretary and chair whether a corrected notice, rescheduling or another step is needed. This guide does not decide the validity of a particular meeting or whether a notice defect can be cured.
Example: the subject line and calendar disagree
An email states Singapore time, but its attached calendar invitation displays a different hour for an overseas director. Keep both versions and any subsequent clarification. If the person missed the meeting, record that fact instead of treating the original invitation as proof of attendance.
A unanimous response to a calendar correction is also not automatically the same as approval of a resolution.
Retain the accepted next step
Link the reviewed action to the final meeting pack and preserve the earlier circulation history. Keep the minutes faithful to the real attendance and decisions. Where legal consequences require interpretation, obtain assistance through advisers from associated law firms.
