Adjourned meeting records should connect the original proceedings with the resumed meeting without making them look like one uninterrupted event. Preserve what actually happened at each stage. Ask the secretary and chair to confirm the applicable procedural requirements before issuing new meeting materials or treating a deferred decision as completed.

Establish the point of adjournment
Keep the original notice, agenda, attendance evidence and the record of the adjournment. Identify which items were completed and which remained open. A discussion ending without a vote should not be described as an approved resolution merely because the meeting later resumed.
Record the date, time and relevant instructions given about the next session. Do not invent a universal notice period or assume the original attendance establishes participation at the resumed proceedings.
Prepare a connected second pack
Give the resumed session its own dated attendance and document references. Link it to the earlier meeting and identify any revised papers. The secretary should assess which notices, authority documents and approvals are needed under the actual company rules.
Keep earlier papers intact even where a replacement is circulated. A reader should be able to identify the material before the meeting at each stage.
Example: only one agenda item remains
The company completed routine matters but deferred a particular decision for more information. Keep the completed items separate from the deferred question. If the later paper changes the proposal, make that change visible rather than suggesting everyone approved the earlier version.
Close with an accurate sequence
Retain the original and resumed records together with the secretary’s review. Resolve any question about validity or voting through appropriate advisers. This administrative pack supports a traceable meeting history; it does not decide whether the adjournment or a later decision was legally effective.
