A historical company record request should identify the date and particulars the requester needs, rather than rely only on the company’s current information. Retrieve dated records and explain any gaps. A current Business Profile or register extract cannot by itself establish the position at an earlier point in time.

Clarify the historical question
Record the company, requested date and subject, such as officers, shareholdings or a previous address. Ask why a past-date record is needed where that helps identify the appropriate source. Confirm the authorised recipient and disclosure scope before collecting sensitive material.
Distinguish the date an event occurred from the date a document was prepared, filed or extracted. Those dates may answer different questions.
Build a dated evidence chain
Locate relevant historical extracts, corporate approvals, register entries and filing evidence. Preserve their original dates and source references. List conflicting documents instead of choosing whichever best supports the requested answer.
Ask the secretary to determine what evidence establishes the actual historical position. An administrator should not generate a fresh document and label it as though it was issued years earlier.
Example: a bank requests the former directors
The current extract lists today’s officers, while the bank asks about an earlier transaction date. Give the secretary the date-specific request and available appointment or cessation records. Do not remove current names from a new profile and present the edited copy as an official historical extract.
Supply an accurately labelled pack
Keep copies and explanatory schedules distinct from official records. Record what was supplied, its limitations and unresolved items. If legal effect or entitlement is disputed, obtain appropriate advice. The purpose is a transparent historical account, not retrospective alteration of the company’s records.
