For a director record request, clarify the documents and period needed, preserve the originals and prepare an indexed copy pack through the company’s authorised process. Record what was supplied and what remains outstanding. If access is disputed or documents are sensitive, ask the secretary and legal advisers to assess the request rather than having an administrator decide the legal entitlement.

Clarify scope before collecting files

Ask whether the request concerns minutes, statutory records, financial information or a particular transaction. Capture the date range and purpose where appropriate. A request for all company records may require clarification so that the team can identify responsive material without omitting relevant documents or disclosing unrelated personal information.

Locate the record owner and current storage location. Distinguish a signed original from a working draft, an accountant’s schedule and an informal email discussion. Do not silently replace an incomplete original with a reconstructed document. Describe the gap and seek instructions.

Build a copy index

Use columns for document title, date, version, source location, format supplied and any outstanding issue. Number the files consistently. Keep access to the working folder limited to authorised people. Where a document contains passport details, employee information or client records, obtain appropriate guidance on secure handling and any necessary redaction.

Preserve evidence of custody

The task is to organise a response, not to edit history. Copy existing records without changing their signed content. Keep originals in the approved custody location. If originals must move, log the recipient, purpose and return arrangement. A scanned copy should be labelled as a copy rather than presented as a newly signed document.

Example: three versions of meeting minutes

The folder contains a draft, a signed version and an unsigned correction. Put the signed version in the pack and identify the others in the index where they are within scope. Ask the secretary how the proposed correction should be handled. Replacing the signed minutes with the latest file timestamp would obscure the record.

Escalate disputed questions

This practical process does not determine inspection rights, privilege or litigation disclosure. Legal assistance should come through advisers from associated law firms where needed. ACRA’s record-update guidance is relevant to maintaining accurate company particulars, but is not authority for deciding every document-access dispute. Close the administrative request with a supply log and a clear outstanding list.
