An officer passport renewal should prompt an identity-record review, rather than a second appointment of the same person. Ask the company secretary to compare the current Bizfile particulars with the replacement document and identify the correct update route. Keep the existing appointment history intact. A changed passport number does not, by itself, mean a director has resigned or joined the board again.

Create a controlled comparison

Record the officer’s name, current recorded identifier, replacement identifier and expiry dates in a restricted working schedule. Obtain the document through an approved secure channel. A casual message saying that the passport has changed is a prompt to request evidence, rather than sufficient authority to amend every company record.

Check whether the spelling, nationality or address has also changed. Separate each discrepancy so the reviewer can see what needs attention. Do not assume that a passport renewal proves a new residential address. Where documents disagree, ask for clarification before anyone transcribes the information into a filing.

Confirm the applicable update route

ACRA’s current guidance includes changes to an officer’s identification particulars among reportable updates. It also distinguishes Singapore citizens and permanent residents whose relevant particulars are reported to ICA. Ask the secretary which route applies to this individual and record any filing deadline. Avoid using a generic appointment transaction just because its screen is familiar.

Keep an identity continuity note

For example, an overseas director renews a passport but retains the same name and role. The working note should connect the two documents to that person and record the accepted update. It should not manufacture a new date of appointment. Give the reviewer enough evidence to follow the change without circulating passport copies to everyone on the mailing list.

Close the request with readback

After the update, compare the accepted particulars with the approved schedule. Retain the acknowledgement and restrict access to the supporting identity documents. Check other records separately, such as the bank’s customer information, because a successful ACRA update does not prove another organisation has changed its records. Keep a short list of outstanding actions with an owner for each.
